Tasks, clocking in and out, tablet and printing

Anyone without a computer works on a shared tablet. What they do there is recorded on the same order the office sees.

What you need

  • For the application

    A computer with an up-to-date browser.

  • For the tablet

    An Android tablet. The app is in Catalan and we install it for you from a file.

  • For printing

    A Windows computer in the office, switched on and logged in.

One tablet, one PIN per person

The tablet belongs to everyone. Each worker signs in with their own 6-digit PIN and chooses what to do.

  • Prepare orders: they mark the quantity prepared on each line and note the lot.
  • Make the delivery note for the prepared order and ask for it to be printed, with the number of copies.
  • Clock in and out.

Limits

  • For Android tablets only. The app is in Catalan.
  • It is not in any app store: we install it for you from a file.
  • Orders, quotations and invoices are not created on the tablet: it is for preparing the orders made in the application.
  • The tablet does not print directly: it asks the software in the office to print.

If the connection drops

The tablet shows the last data it had downloaded. What is done on it goes into a queue and is sent when the connection comes back. If something could not be sent, it appears in a list and can be tried again.

Limits

  • Not everything works offline.
  • Linking the tablet, or a worker signing in on it for the first time, needs a connection.
  • The delivery note number is not known until the tablet has synchronised.

Adding a tablet

In the application you generate an activation code, which is also shown as a QR code. The tablet scans it, or you type it in.

  • The code is shown only once, expires after 15 minutes and works for one tablet only.
  • In the application you can rename the tablet or revoke it.

Limits

  • The tablet’s credential lasts one year; after that it has to be linked again.
  • A revoked tablet cannot be reactivated: it is added again as a new one.

Clock-in records that cannot be deleted

Clocking in, clocking out and incidents, from the tablet or from the application. A clock-in record cannot be deleted; if a time is corrected, the original stays visible next to it.

  • Flexible, weekly or monthly schedules for each worker.
  • Company holidays and staff holidays.
  • A monthly PDF per worker with the record for each day.

Limits

  • The clock-in record carries no legal certification. If you have to submit it, go over it with your accountant or adviser.
  • The strict schedule limits the clock-in button on the screen, but it does not make it impossible to clock in outside hours.
  • There is no clocking in with location, photo or fingerprint.

Tasks, with the hours spent on them

Each task has its project, its category, its status and its priority. You add comments and hours to it, and the history of what has changed is kept.

  • Hours with a timer or entered by hand.
  • Comments, with an attached file if needed.

Limits

  • It is a list of tasks. There is no board with columns and there are no subtasks.

The paper comes out of the office printer

A small program, installed on a computer in the office, collects the documents someone has sent to print and passes them to the printer.

  • You choose which printer prints the invoices and which the delivery notes.
  • In the application, you press Print on a delivery note or an invoice.
  • From the tablet, you ask for the copies of the delivery note.
  • You can also upload a PDF to the print queue.

Limits

  • It needs a Windows computer, switched on and logged in.
  • The print program checks for work every 30 seconds: the paper can take half a minute or a little longer.
  • Nothing prints on its own when a document is saved: someone always asks for it.
  • In the application you cannot choose the tray, double-sided printing or the number of copies.
  • It only prints PDFs, on printers installed in Windows on that computer.
